Invite your team
Give each person their own sign-in. Send an invitation by email, pick the role that fits their work, and see what they do to join. With the role to choose for an accountant, billing staff, a stock keeper and a partner.
4 minutes
One sign-in for each person
Do not share your own sign-in. Each person signs in with their own email, sees only what you allow, and what they do is recorded under their own name.
Inviting is for the owner, and for anyone the owner has given Users and roles. A business can have 50 people, counting invitations still open. Nothing is charged for them today.
Send an invitation
- Open Settings, then Users and roles.
- Press Invite someone.
- Type their Email address. It is the address they will sign in with, so use one they read. Their name is optional.
- Pick the Role nearest to their work. It starts on Billing staff.
- Under What they can do, switch single things on or off if the role is not quite right.
- Press Send invitation.
The person is listed under Invited until they join.
Which role to choose
| For | Choose | What they get |
|---|---|---|
| A partner, or a manager who runs the business with you | Admin | Everything you can do, except handing the business to someone else |
| Your accountant | Accountant | The books in full: bills, entries, figures, GST and stock. No team, pay or settings |
| Someone at the counter who bills customers | Billing staff | Makes bills and records payments, and sees the bills and the stock. Does not see profit, cash or ledgers |
| Whoever looks after the godown | Stock keeper | Items and warehouses, transfers, write-offs and reorder levels. No bills, cash or profit |
| A supervisor who only marks who came in | Attendance | Marks attendance. Sees nothing else, and no pay |
| Someone who should look and not touch | View only | Sees the books and the figures. Changes nothing |
Every switch behind these roles is listed in Users and roles. You can change a person's role at any time.
What the invited person does
- They open the email from Orzoni and press the link in it.
- The page is headed Join with your business's name. It shows who invited them, their role, and the address they will sign in as.
- They type their name and press Accept and open Orzoni.
They are in. There is no password to choose. From then on they sign in at admin.orzoni.com/signin with a six-digit code sent to the same address, and can set a password later if they want one. See Create your account and sign in.
You are told by email when they join.
If the invitation does not work
| What happens | Why | What to do |
|---|---|---|
| They say no email came | It is in their spam folder, or the address has a mistake in it | Ask them to look in spam. If the address is wrong, press Withdraw and invite the right one |
| "This invitation has run out" | An invitation is good for a week | Press Send again beside their name under Invited |
| "This invitation is not known" | A newer invitation replaced it | They should use the link in the latest email |
| "This invitation was withdrawn" | Someone pressed Withdraw | Invite them again |
| "This invitation link is not complete" | The link was copied by hand and part is missing | They should open it again from the email |
| "This invitation has already been accepted" | They have joined already | They sign in with the address the invitation went to |
| "That person is already in this business" | You invited someone who is already a member | Open them under People to change what they can do |
| "Too many invitations have been sent today" | A business, and each person in it, can send 30 a day | Try again tomorrow |
Send again sends a new link, and the earlier one stops working. Inviting the same address a second time does the same.
After they join
- They are listed under People, with when they were last here.
- Press their name to change what they can do, or to remove them. See Users and roles.
- What they make or change in the books is listed, with their name, under What was done on the same screen.
What happens next
- Show them Find your way around and Orzoni on your phone.
- Selling on a Shopify store? Connect it.
- Then start working: Make a sales invoice.
